ROLE PROFILE

role PURPOSE

Provide support to CO operations through cash forecasting. Ensure availability of funds to support operations, preparation of financial reports in line with USNO and CRS guidelines.  Budgetary control for the effective implementation of financial plans. Implement cost recovery measures in accordance with operations Manual (OM) and other approved policies and procedures.

Accountabilities

Prepare Financial project financial reports for dissemination and decision- making.

  • Prepare project financial statements as guided by USNO and CRS
  • Provides policy guidance and oversight on financial management personnel, activities, and operations.
  • Monitors financial execution of the budget in line with USAID and CRS guidelines
  • Update the grant in the ERP system and make sure all mapping is in order
  • Maintains a good filing system for all financial documents for the projects
  • Reviews the bank account reconciliation
  • Manages cash flow and makes sure funds are available for activity implementation
  • Monitors financial risks related to the project and makes recommendations to management

Budgeting and budgetary control                                                                                                                                      

  • Coordinates preparation of the projects annual budgets
  • Makes sure all activities are implemented within the allocated budget to avoid budget overruns

Manage the operation of SAP to meet Plan’s spending and financial reporting requirements.

  • Follow up projects to close
  • Review new project outlines and project modifications for the project
  • Make sure Derivation of WBS-Funded Program in SAP is done
  • Follow-up NR grants
  • Ensure SAP monthly ledger reports are printed and signed off.

Others

  • Fulfil Plan’s Child Protection Policy at all times to protect children from all forms of abuse
  • Perform any other duties that may be assigned from time to time to support the achievement of organizational goals.
  1. Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Key relationships

  • Medium contact with Plan partner organizations to ensure Plan receives value for money and the financial requirements are adhered to.
  • Has high contact with all PIIA and country office unit finance staff
  • Maintains medium contact with other staff from the program unit and country offices to offer support for compliance with finance and accounting procedures in relation to the project

Technical expertise, skills and knowledge

Essential

  • Professional Financial/Accounting qualification (CPA or equivalent)
  • At least 3 years’ experience in a similar role.
  • Proven experience in project financial management
  • Good understanding of operations in an NGO environment
  • Communicates clearly and effectively.
  • Ability to facilitate participative processes.
  • Independence, objectivity and integrity.
  • Organized, methodical and meticulous.
  • Promotes innovation and learning.
  • Gains, develop and retain credibility about his/her Performance
